Fundraising Privacy Policy

The Royal Central School of Speech and Drama is committed to protecting and respecting your privacy.

Your charitable gifts make a tremendous impact on Central’s mission to develop practitioners and researchers who shape the future of theatre and performance across the UK and beyond.

For fundraising we collect information about you to ensure that:

  • we ask for funds in a way that suits you and that you feel comfortable with;
  • we don’t waste valuable resources asking for funds from individuals who aren’t inclined to donate to us, or for projects they are not inclined to support;
  • we treat your gift securely and ensure that it reaches the desired destination.

We promise to treat your information with respect and to keep it safe.

  • Who We Are

    The Royal Central School of Speech and Drama (or Central) is a specialist higher education institution that stands at the forefront of training and research in the theatre and performance arts.

    On our website you can find out more about the School, including its range of undergraduate and postgraduate programmes. Company and exempt charity information about Central can also be found there.

  • How we collect information from you

    We may collect information from you in the following ways:

    • When you give it to us directly. You may give us your information in order to sign up for one of our events, make a donation, or communicate with us.  
    • When you give it to us indirectly. Your information may be shared with us by independent event organisers, for example the fundraising sites like BTDonate or JustGiving. These independent third parties will only share your data with us when you have indicated that you wish to be contacted by Central. You should check their privacy policies when you provide your information to understand fully how they will process your data.
    • We sometimes combine information you provide to us with information available from other sources.  This, for example, enables us to contact you in the event that you change your address or phone number, or gain a better understanding of your interests.  

    The information we can receive from other organisations may depend on the permissions you have given them.

    This information comes from the following sources:

    • Third party organisations

    You may have provided permission for a company or other organisation to share your data with Central specifically or with ‘other organisations’ more generally.  This could be when you buy a product or service (e.g. post redirection service) or sign up with a networking site (e.g. LinkedIn).

    • Social Media

    Depending on your settings or the privacy policies for social media and messaging services like Facebook or Twitter, you might give us permission to access information from those accounts or services.

    • Information available publicly

    This may include information found in places such as Companies House and other business-related resources, the World Wide Web or published in articles/newspapers.

  • What Personal Data We Hold

    The personal data we request when you donate may include:

    • Contact details
    • Fundraising campaign you are donating to
    • Value of gift
    • Method of donating
    • Preferred methods of communication 

    Should you provide them to us, or if they are publicly available, our database can store the following additional information:

    • Biographical information
    • Programme studied and year of graduation at Central (if relevant)
    • Any previous names or stage names
    • Work contact information
    • Gender
    • Disability
    • Date of birth
    • Relationships to other alumni, donors and friends
    • Records of communications, meetings and marketing activities by Central
    • Details of volunteering by you on behalf of Central and its students (e.g. placement provision)
    • Membership of other professional networking programmes linked to Central
    • Teaching history at Central (if any)
    • Registration and attendance at events
    • Brief information you may tell us about what motivates you to support Central
  • How We Use Your Information And How Long We Keep It

    We use your information:

    • To record your contact details
    • To contact you, in line with your preferences, to ask for support and to give you progress reports about life at Central
    • To administer your donation or support, including processing Gift Aid
    • To carry out legacy administration and to communicate effectively with the families of people who have left us a gift in their Will
    • To keep a record of your relationship with us
    • To improve our fundraising and communications methods
    • To reduce fraud and detect credit risk

    We very much hope that a relationship with a donor and other supporters of the School lasts for many years.  If, however, you choose not to give, we will maintain your details on our database for a period of two academic years after the last gift is made. At such a time, Central will retain only your name and the record of any donation(s) made.

  • How We Access Your Information

    We never sell your data to third party organisations.

    We will not share your information with third parties for marketing purposes.

    Third Party Service Providers working on our behalf:

    We may pass your information to our third party service providers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to process donations, send you mailings or complete ticket orders). However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service, and we have contracts in place with all third party service providers that requires them to keep your information secure and not to use it for their own direct marketing purposes. Please be reassured that we will not release your information to third parties unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

    Third Party Product Providers we work in association with:

    When you are donating online or setting up a direct debit gift instruction, your payment is processed by a third party payment processor (currently BTDonate and SmartDebit), which specialises in the secure online capture and processing of online gift and direct debit instructions. If you have any questions regarding secure transactions, please contact us.

  • Your rights to update, access or withdraw your information

    Your rights in regards to your information. 

    Updating your information
    The accuracy of your information is important to us. We’re working on ways to make it easier for you to review and correct the information that we hold about you. In the meantime, if you change email address, or any of the other information we hold is inaccurate or out of date, please contact us by email.

    Accessing your information
    You have the right to ask for a copy of the information the School holds about you, known as a Subject Access Request. You can find out how to request this data.

    Withdrawing consent and erasing your information
    You have a choice about whether or not you wish to receive information from us. If you do not want to receive direct marketing communications from us about our products and services, then you can select your choices by ticking the relevant boxes situated on the form on which we collect your information.

    We will not contact you for marketing purposes by email, phone or text message unless you have given your prior consent. We will not contact you for marketing purposes by post if you have indicated that you do not wish to be contacted. You can change your communication preferences at any time by contacting us by email.

    You can also ask us to erase the personal information that we hold about you. Please email us for more information.

    If you ask us to withdraw or erase your information whilst you are a donor, we will delete all your personal data except that which is needed to record your gift. If you do so whilst you are not actively donating, we will remove all details except your name.  

  • How we keep your personal data safe

    We ensure that there are appropriate technical controls in place to protect your personal details.  

    If you have provided us with bank details, this information is stored on password protected files; the key bank details are blacked out on paper files stored or scanned; and on deletion all paper files are shredded.

    We will only ever share your data in other circumstances if we have your explicit and informed consent.
